Information we collect

When you buy records, create an account or contact us, we collect the information you provide, such as your name, email address, telephone number, billing and delivery addresses, order details and messages. Our WordPress and WooCommerce shop uses this information to manage your basket, account, purchases and enquiries. Technical information may include your IP address, browser information and website activity, as described in the service and cookie sections below.

Why we use your information

We use order and delivery information to perform our contract with you and to take steps you request before placing an order. We use relevant transaction records to meet legal accounting and tax obligations. We process enquiries, secure the shop and resolve disputes for our legitimate interests in operating the business and helping customers, balanced against your rights. Where we rely on consent, you can withdraw it at any time. We need the information required at checkout to process and deliver your order; without it we may be unable to complete your purchase.

Payments

We accept payments through PayPal and WooPayments, which is provided in partnership with Stripe. Relevant customer, billing, order and transaction details are passed to these services to process payments, refunds and payment disputes, and to prevent fraud. Payment providers may also collect technical information, such as IP address and device information, for security and fraud prevention. Card details are handled by the payment providers; our shop does not store full card numbers or card security codes. We retain the payment status and transaction references needed to manage your order.

Delivery

We use Royal Mail for UK and international orders. We provide the recipient name, delivery address and parcel information needed to deliver your purchase. Contact details may be provided where needed for delivery notifications or resolving delivery problems. International shipments may require order details and customs information to be shared with Royal Mail, destination postal partners and customs authorities.

Hosting and other service providers

Our website is hosted by IONOS. Customer and order information is held in our WordPress and WooCommerce shop database on the hosting service. IONOS processes technical information, including website access logs, to provide and secure hosting. Access logs can include IP addresses, requested pages, dates and times, and browser information. Emails you send to us and order-related communications are used to answer questions and manage purchases.

Analytics and advertising

We do not run advertisements on this website or use customer order information to build advertising profiles. Hosting services may produce technical access logs and basic website statistics to operate and monitor the website. These are separate from the information we request to fulfil orders.

Cookies and third-party content

WordPress and WooCommerce use cookies and similar storage for functions such as keeping items in your basket, maintaining a shopping session and signing you into your account. PayPal and WooPayments/Stripe may use cookies or similar technology to process payments and protect against fraud. You can manage cookies in your browser, although blocking cookies needed for shopping or payment may prevent those features from working. We do not use cookies to show advertisements on this shop.

Marketing communications

We do not operate a mailing list or send marketing newsletters. We use your contact details for order confirmations, payment and delivery updates, refunds and replies to your enquiries.

Who receives your information

We share information with the service providers described above where needed for the purposes explained in this policy. We may also disclose relevant information to professional advisers or public authorities where required by law or necessary to establish, exercise or defend legal claims.

International processing

Some payment-provider processing takes place outside the UK, including in the United States. PayPal describes safeguards including binding corporate rules and contractual safeguards; Stripe describes safeguards including the UK Extension to the Data Privacy Framework and standard contractual clauses with the UK Addendum, as applicable. Their privacy notices explain the relevant locations and protections. International deliveries also require recipient and customs information to be processed in the destination country. Contact us if you would like information about safeguards relevant to your order.

Provider information: PayPal privacy statement, Automattic / WooPayments privacy policy, Stripe privacy policy.

How long we keep information

We keep order and transaction records for as long as needed to fulfil orders, handle returns, refunds and disputes, and meet applicable tax and accounting record-keeping requirements. Enquiries are kept while needed to resolve the enquiry and any related order issue or claim. Account information is kept while the account is used or needed for these purposes. Retention is assessed against the record type, outstanding issues and applicable legal obligations; information no longer needed is deleted or anonymised. Hosting and payment providers apply their own retention periods to the records they hold, as explained in their privacy information.

How we protect information

Payments are processed by PayPal or WooPayments/Stripe rather than by storing full card details in our shop database. IONOS provides the hosting infrastructure. Please do not send card numbers, security codes or account passwords by email. If you believe your order or account information has been exposed, contact us promptly using the details above so that we can investigate. Where a personal data breach requires notification under data protection law, we will notify the relevant authority and affected people as required.

Your rights

Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction of processing or transfer of information to you or another organisation. You may object to processing based on legitimate interests and to direct marketing. These rights have exceptions: we may need to keep some records for legal obligations or claims. Contact us using the details above to make a request. We may ask for information to verify your identity.

Questions and complaints

Please contact us if you have a privacy question or concern. You also have the right to complain to the UK Information Commissioner’s Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.

We update this page when our services or processing practices change. The review date above identifies the current version.
